The Bristol Sauce Map — Terms & Conditions and Privacy Policy

Both documents below cover The Bristol Sauce Map (map.thebristolsauce.com and the companion iOS/Android app) only. They do not cover The Bristol Sauce newsletter itself, which is run on Substack and has its own terms and privacy policy — those explicitly don't apply to how we, as the Creator, run our own map app. These documents fill that gap. In particular, the map app doesn't process any payments, subscriptions, or refunds itself — all of that happens on Substack, and Substack's terms govern it.

Terms & Conditions

1. Acceptance of these terms

By logging in to or using The Bristol Sauce Map, you agree to these terms. If you don't agree, don't use The Bristol Sauce map.

2. What The Bristol Sauce map is

The Bristol Sauce Map is an interactive map of restaurants reviewed by The Bristol Sauce, offered as a companion to the online publication. It lets you browse, filter, and read reviews of restaurants The Bristol Sauce has covered.

3. Access and eligibility

Access is normally limited to active The Bristol Sauce subscribers on Substack, though we may open access more widely to free subscribers for a period, or grant access to specific people outside the normal subscription (comped accounts) — access rules can change at any time, at our discretion, without notice. You must use an email address that matches your actual identity; sharing your login access with people who aren't meant to have it isn't permitted and access will be withdrawn if we come across this.

4. Your account and login

There's no password to set — you log in with a one-time link (“magic link”) sent to your email. Each link expires after 15 minutes and can only be used once. You're responsible for keeping access to your own email account secure, since that's what controls access to The Bristol Sauce map.

5. Acceptable use

You agree not to:

  • Scrape, bulk-download, or systematically extract data from The Bristol Sauce map
  • Attempt to access The Bristol Sauce map using an account or subscription that isn't yours
  • Interfere with or disrupt The Bristol Sauce map, or attempt to circumvent access controls
  • Reverse engineer, copy, or redistribute The Bristol Sauce map or its underlying code
  • Use The Bristol Sauce map for any unlawful purpose

We may suspend or revoke your access if you breach these terms.

6. Content and intellectual property

Restaurant reviews, descriptions, and editorial content on The Bristol Sauce map are owned by The Bristol Sauce unless stated otherwise, and are provided for your personal, non-commercial use only — not for republishing, redistributing, or commercial use without our permission. Map imagery is provided by OpenStreetMap and its contributors, © OpenStreetMap contributors, made available under the Open Database License.

7. Accuracy of information

We try to keep restaurant information accurate, but details like opening hours, menus, and whether a restaurant is still open can change without our knowledge. Always confirm directly with the restaurant before visiting, especially for anything time-sensitive. We're not responsible for losses arising from relying on information on The Bristol Sauce map without checking with the restaurant directly.

8. Availability and changes to The Bristol Sauce map

We provide The Bristol Sauce map on a best-effort basis and don't guarantee it will always be available, uninterrupted, or error-free. We may change, suspend, or discontinue The Bristol Sauce map, or any part of it (including which subscribers get access), at any time.

9. Suspension and termination

We may suspend or end your access to The Bristol Sauce map at any time, including if you breach these terms, misuse The Bristol Sauce map, or your qualifying Substack subscription lapses (this doesn't apply to comped/perpetual accounts). You can stop using The Bristol Sauce map at any time simply by not logging in. Ending your Substack subscription ends your access to The Bristol Sauce map but does not automatically delete your account record — see the Privacy Policy below for how to request deletion.

10. Disclaimer of warranties

The Bristol Sauce map is provided “as is” and “as available,” without warranties of any kind, whether express or implied, to the fullest extent permitted by law.

11. Limitation of liability

To the fullest extent permitted by law, we are not liable for any indirect, incidental, or consequential losses arising from your use of The Bristol Sauce map. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, or for fraud, where the law doesn't allow that liability to be excluded.

12. Changes to these terms

We may update these terms from time to time. Continuing to use The Bristol Sauce map after an update means you accept the revised terms. We'll update the “last updated” date above when we do.

13. Governing law

These terms are governed by the laws of England and Wales, and any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Privacy Policy

What we collect

Email address. Used to log you in via a one-time magic link and to check your Bristol Sauce subscription status. We receive this either when you enter it to request a login link, or automatically from Substack when you subscribe.

Session data. When you log in, we create a session token stored in your browser (or in the app) so you don't have to log in every time. Sessions expire automatically and can be ended early by logging out.

Subscription status. Whether you're a free or paid Substack subscriber, and whether your subscription is active. This determines what you can access and is kept in sync with Substack.

Location data. If you allow it, the map uses your device's location to center the map near you and show your position relative to restaurants.

  • On the web, this is a one-time location request each time you open the map.
  • In the iOS/Android app, this is continuous while the map screen is open (updating roughly every 10 metres of movement), so your position on the map stays current as you walk or drive.
  • Location permission is optional — the map is browsable without it.
  • Your location is used only on your own device to draw your position on the map and is not sent to or stored on our servers.

Favourites. If you heart a restaurant on the map, we save it to a private list tied to your account so you can filter the map down to just your favourites. This list is only ever visible to you.

Why we collect it

  • To authenticate you and keep you logged in (email, session data)
  • To confirm you're an active The Bristol Sauce subscriber and show you the right level of access (subscription status)
  • To show you where you are relative to restaurants on the map, if you opt in (location)
  • To let you save and filter to your own favourite restaurants (favourites)

We don't use any of this data for advertising, and we don't sell it.

Who we share it with

We use a small number of service providers to run the app. They process data on our behalf and are not permitted to use it for their own purposes:

  • Supabase — hosts our database (your account, session, and subscription records) and handles authentication.
  • Resend — sends the magic-link login emails, and delivers them to your email address.
  • OpenStreetMap — supplies the map tiles (the map imagery itself). Loading the map fetches tiles directly from OpenStreetMap's servers, which will see your device's IP address as part of that request, similar to loading images from any other website. See OpenStreetMap Foundation's privacy policy.
  • Substack — the source of your subscription status; we receive updates from Substack when you subscribe, upgrade, or unsubscribe.

We do not share your data with anyone else, and we don't send location data to any of these providers.

How long we keep it

  • Active accounts: we keep your account for as long as you're an active subscriber (free or paid) or a perpetual account. There's no time limit while your account is active.
  • Lapsed accounts: if you unsubscribe or your subscription lapses, we keep your account record for 12 months afterward (in case you resubscribe), then delete it automatically.
  • On request: you can ask us to delete your account and associated data at any time by emailing meghoughtongilmour@gmail.com. We'll action deletion requests within 30 days.
  • Session and login tokens: session tokens and magic-link tokens expire automatically (sessions on a fixed timer, login links after 15 minutes) and are purged from our systems on a regular schedule after they expire.
  • Operational logs: logs of subscriber sync activity (counts and status only — these never store your email address) are kept for 90 days for troubleshooting purposes, then purged.
  • Database backups: we keep rolling backups of our database for up to 7 days, for disaster-recovery purposes only. If you ask us to delete your data, it's removed from our live systems immediately but may remain in a backup for up to 7 days afterward, until that backup is automatically cycled out. We also occasionally take manual backups before major changes to our systems; these are kept for a short period and deleted automatically, and are never used for anything other than restoring the database if something breaks.

Your choices

  • Location: you can deny or revoke location permission at any time in your browser or device settings; the map remains usable without it.
  • Account deletion: unsubscribing on Substack ends your access to the map but does not automatically delete your account record from our database. To request deletion of your account and associated data, email us at meghoughtongilmour@gmail.com.
  • Login links: magic links expire after 15 minutes and can only be used once.
  • Favourites: you can remove a restaurant from your favourites at any time by tapping the heart again. Deleting your account (see above) removes your favourites list too.
